2. What data we process, why and on what basis

a) "Start your project" form

Data: full name, phone, email and the information you provide about your space (surface, approximate location, indicative budget, timeframes and description), as well as the source of your visit (campaign parameters).
Purpose: to manage your request, contact you, prepare the video call and draft proposals.
Legal basis: your consent (art. 6.1.a GDPR) and pre-contractual measures at your request (art. 6.1.b GDPR).

b) Video call booking

Data: name, email and chosen time slot, processed via Google Calendar.
Purpose: to schedule and hold the video call.
Legal basis: pre-contractual measures (art. 6.1.b GDPR).

c) Purchase of design packs

Data: identification and billing data; payment data is processed directly by the payment provider (Stripe) — Tropios does not store card numbers.
Purpose: to perform the contract, invoicing and tax obligations.
Legal basis: performance of a contract (art. 6.1.b) and legal obligation (art. 6.1.c GDPR).

d) Communications via WhatsApp, email or phone

Purpose: to answer your queries and follow up on your project.
Legal basis: consent and pre-contractual measures.

e) Analytics and advertising

Only if you accept cookies (see cookie policy): site usage measurement (Google Analytics 4) and advertising conversion measurement (Google Ads), with Google Consent Mode enabled.
Legal basis: consent (art. 6.1.a GDPR).

3. Recipients and processors

Your data may be processed by the following providers, acting as processors or joint controllers under their own terms:

  • Google LLC / Google Ireland Ltd. — forms and response sheet (Google Forms/Sheets), email and calendar (Google Workspace / Calendar), analytics and advertising (GA4, Google Ads).
  • Stripe Payments Europe, Ltd. — payment processing for the design packs.
  • WhatsApp Ireland Ltd. (Meta) — messaging, if you choose to contact us via that channel.
  • The site's web hosting provider.

We do not share your data with other third parties except where legally required (public authorities, judges and courts).

4. International transfers

Some of these providers may process data outside the European Economic Area. In such cases, transfers are covered by European Commission adequacy decisions (including the EU-US Data Privacy Framework) or by standard contractual clauses.

5. Retention periods

  • Requests and enquiries without a project: maximum 24 months from the last contact.
  • Contract and billing data: the periods required by commercial and tax law (generally 6 years — art. 30 Spanish Commercial Code).
  • Cookie-related data: as per the cookie policy.

6. Your rights

You may exercise at any time your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw your consent without affecting the lawfulness of prior processing, by writing to info@tropios.com with the subject "Data protection". We will respond within a maximum of one month.

If you believe we have not handled your rights properly, you may lodge a complaint with the Spanish Data Protection Agency (C/ Jorge Juan 6, 28001 Madrid — www.aepd.es).

7. Security

We apply technical and organisational measures appropriate to the risk (encryption in transit, access control, providers with recognised security certifications) to protect your data against unauthorised access, alteration or loss.

8. Minors

This site is not aimed at children under 14 and we do not knowingly collect their data.
